Privacy Policy

This policy explains what personal information is collected when you use this website, how it is used, and the rights you have. It is written to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who is responsible for your data

The data controller for this website is Kate Whelan, trading as A Truly English Voice. If you have any questions about this policy or about how your information is handled, you can get in touch at hello@atrulyenglishvoice.com.

What information is collected

The only personal information actively collected is what you choose to provide through the enquiry form. Depending on what you fill in, this may include:

  • Your name and email address (required to reply to you);
  • Details you volunteer about your project — such as the type of work, intended usage and media, territories, licensing duration, deadline, whether you need a live-directed session, and any script or brief you include in the message.

You are not asked to create an account, and no more information is requested than is needed to respond to your enquiry. This website does not run analytics, advertising or social-media tracking, and it does not build a profile of you.

How your information is used, and the legal basis

Information you submit is used only to respond to your enquiry and to discuss, quote for, and where relevant carry out voiceover or presenting work. The lawful bases relied on under the UK GDPR are:

  • Taking steps at your request before entering into a contract — for example, preparing a quote or arranging an audition in response to your enquiry;
  • Performance of a contract — where you go on to book work, to deliver and administer that work;
  • Legitimate interests — to read and reply to enquiries and to keep reasonable records of correspondence, in a way you would expect and that does not override your rights;
  • Legal obligation — where records (such as those relating to invoicing and tax) must be retained to meet legal or accounting requirements.

Consent is not relied on as the basis for handling enquiry-form data, so there is nothing you need to opt in to in order to contact Kate through this site.

Who processes your information

A small number of third-party services are used to run this website and respond to enquiries. Personal data is only shared with them to the extent needed for those purposes:

  • Formspree — the enquiry form is delivered using Formspree, which processes the contents of your submission and forwards it by email. Formspree is a US-based service and stores submission data on infrastructure provided by Amazon Web Services. See Formspree’s privacy policy for details of how it handles data.
  • YouTube — showreel and presenting videos are embedded from YouTube in privacy-enhanced mode (the “no-cookie” domain). YouTube does not set tracking cookies for embedded videos unless you press play or interact with the video, at which point Google may process information under its own terms. See Google’s privacy policy.
  • Google Fonts — the site’s typefaces are served by Google Fonts. To deliver the fonts, your browser connects to Google’s servers, which means your IP address is shared with Google for that request. Google Fonts does not set cookies. See Google’s privacy policy.
  • Web hosting — the site is hosted by a third-party provider whose servers may keep standard technical logs (such as IP addresses) as part of operating and securing the service.

International transfers

Some of the services above (including Formspree, YouTube and Google Fonts) are operated by companies based in the United States, so your information may be transferred to or accessed from outside the UK. Where that happens, those providers rely on appropriate safeguards for international transfers, such as the UK Addendum to the EU Standard Contractual Clauses and, where applicable, adequacy or certification schemes.

How long your information is kept

Enquiry and correspondence data is kept for as long as needed to deal with your enquiry and any resulting work, and thereafter only for as long as there is a genuine business or legal reason to retain it — for example, records required for tax and accounting purposes. When information is no longer needed, it is deleted or securely disposed of. If you would like your details removed sooner, you can ask (see your rights below).

Your rights

Under the UK GDPR you have the right to:

  • Ask what personal data is held about you and request a copy of it;
  • Ask for inaccurate information to be corrected;
  • Ask for your information to be deleted, where there is no overriding reason to keep it;
  • Ask to restrict or object to how your information is used;
  • Request that information you provided be given to you or another provider in a portable form, where that right applies.

To exercise any of these rights, email hello@atrulyenglishvoice.com. If you are not satisfied with how a request is handled, you can complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk.

Security

Reasonable and proportionate measures are taken to protect the information you provide against loss, misuse or unauthorised access, including using reputable service providers and secure connections. No method of transmission over the internet is completely secure, so while your data is protected as far as is practicable, absolute security cannot be guaranteed.

Links to other sites

This website links to external sites — including kate-whelan.com, LinkedIn and YouTube. Once you follow a link to another website, this policy no longer applies, and you should review the privacy policy of the site you visit.

Changes to this policy

This policy may be updated from time to time to reflect changes to the website or to legal requirements. The date at the top of the page shows when it was last revised.
